Adminstrative Office Assistant

Galaxy Employment is looking for an Administrative Office Assistant to join our growing team. In this role, you’ll organize and oversee all administrative and clerical functions to ensure our operations run as efficiently as possible.

  • Work following privacy guidelines as dictated by state and federal law
  • Answer and direct phone calls
  • Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current of necessary company news and information
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Update and maintain company policies and procedures
  • Submit and reconcile expense reports
  • Collect and determine completed of all information before entering data into software programs
  • Sort and organize paperwork after entering data to ensure it is not lost
  • Type in data provided directly from customers, vendors, employees into our platforms
  • Entering customer and account data from source documents within time limits
  • Reviewing data for deficiencies or errors, correcting any incompatibilities, and checking output
  • Provide general support to visitors
  • Act as the point of contact for internal, external clients, and vendors
  • Occasionally traveling off-site to deliver reports or files to other departments
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • And any other duties as needed to help drive to our vision fulfill our mission and abide by organizations values.

Requirements and skills

  • Proven experience as an Administrative Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • High School degree: additional qualification as an administrative assistant or Secretary will be a plus
  • Computer literacy is a must.

Job Types: Full-time, Part-time, Temporary

Salary: $11.00 per hour

  • Certified Administrative Professional (Preferred)
  • Microsoft Office Specialist (Preferred)

Willingness to travel:
